How to Issue an Official Business Payment Receipt
An invoice is a demand for payment, whereas a receipt is official proof that money was received and a debt was settled. Issuing accurate receipts gives your clients the documentation they need for business expense write-offs and tax deductions.#
1. Mandatory Information on a Commercial Receipt
- Original Invoice Reference: Reference the settled invoice number (e.g., "Payment received for Invoice #INV-2026-042"). - Payment Method & Verification: Specify whether payment was made via ACH bank transfer, physical check (including check #), credit card (last 4 digits), or electronic wire. - Date Received & Remaining Balance: Explicitly record the transaction settlement date and confirm: "Remaining Balance Due: $0.00". - Payer & Payee Details: Full business name, tax identification (EIN/TIN), and contact email for both parties.#
